Billing is calculated based on three sources:
Active Driver Accounts
VEDR Video Telematics
Ongoing Certified Safety Training

Driver Accounts
Billing for Active Driver Accounts is based on the highest number of simultaneous drivers assigned to routes in a given month.
$35 per month for up to nine active drivers.
$30 per month for ten or more active drivers.
Example:
A fleet has 20 total drivers using GroundCloud®.
On most days, 12 drivers are assigned to routes, but 14 drivers were active simultaneously on three days.
Billing is based on 14 simultaneous drivers, not the total number of drivers.
VEDR Video Telematics
VEDR-only subscriptions are billed monthly at $30 per active unit.
A "deactivated" VEDR device will not be billed.
Example:
A fleet has 20 total vehicles with VEDR devices installed.
Two vehicles are spare units and are not regularly used.
If 18 vehicles are active with VEDR, the billing applies to 18 units.
If a spare unit is activated at any point in the month, the total billed increases to 19 units.
Ongoing Certified Safety Training
Each assigned route includes Ongoing Certified Safety Training at no additional cost.
Additional drivers taking Ongoing Training are billed $5 per month per driver.
Example:
A company has 20 drivers taking Ongoing Safety Training.
15 drivers are assigned routes; their training is included.
Five additional drivers taking training are billed separately.
Exporting Training Data
Open the Training and Coaching page.
Set the Date Range to the billing period.
Select driver names from the dropdown list.
Click Export to download a spreadsheet of completed training.
Remove duplicate entries to determine the total number of drivers billed for training.
Bundling GroundCloud® and VEDR
The GroundCloud+VEDR bundle reduces costs by automatically pairing driver and VEDR subscriptions.
Each bundle is billed at $50 per month per driver with an active VEDR unit.
Example:
The company has 15 vehicles with active VEDR units.
On a typical day, 12 drivers are assigned routes.
12 bundle subscriptions apply, covering 12 drivers and their VEDR units.
The remaining three VEDR units are billed at $30 each.
18 drivers take Ongoing Training, but only 12 are assigned routes.
The six additional drivers are billed at $5 each.
Total Monthly Cost Breakdown
12 Bundles at $50 each = $600
Three VEDR-Only Subscriptions at $30 each = $90
Six Additional Driver Training Subscriptions at $5 each = $30
GroundCloud® Pro Pricing
GroundCloud® Pro pricing is based on Billable Routes during a billing period.

Sales Tax
As of April 2023, sales tax is applied to all recurring invoices as required by law.
Sales tax is automatically included in the billing.
Sales tax details are available on invoices, the Billing Details page, and the Billing History page.
Credit Cards and Invoice History
Updating your Credit Card / Automatic Payment with Descartes
To update your credit card on file for automatic payments, please email payments@descartes.com with the name of your account and Customer ID (found on previous invoices) to request an update to your card.
An email will be sent to the primary contact address on file within one to two business days, containing a secure link to update your card. Please specify an email address if you are unsure or would like this sent to an alternative address.
Accessing your Invoice Copies Online
You can access invoice copies via the Descartes PayCenter. To gain access to this portal, please email payments@descartes.com with your business name and customer number to request an account.
