Driver Documents


The Driver Documents feature allows managers to track Medical Certificates and Driver’s Licenses within GroundCloud.io. This ensures drivers and managers receive expiration reminders before documents expire.

Note: Medical Certificates are securely stored in GroundCloud.io, and only the user can access them.


Adding a Driver Document

  1. Log into GroundCloud.io.

  2. Go to the Driver Documents tab.


  3. Click Add Document in the top-right corner.


  4. Select the following:

    • Driver Name

    • Document Type

    • Expiration Date

    • Notification Preference

  5. Upload a photo (required for Medical Certificates).

  6. Accept the Terms and Conditions.


  7. Click Save.


Viewing Driver Documents in the Mobile App

Drivers can view their uploaded Medical Certificate and Driver’s License expiration date in the GroundCloud® Driver App.

Note: Drivers can only view the expiration date of their Driver’s License. For security reasons, managers cannot upload an image of a Driver’s License.


Requirements

  • iOS: Version 1.5.4.b1070 or later

  • Android™: Version 1.3.14.2 or later


Steps for Drivers

  1. Log into the GroundCloud® Driver App.

  2. Open the Sidebar Menu and click Documents.

  3. The uploaded Medical Certificate image and Driver’s License expiration date will be displayed.


Managing Document Expiration Notifications

Enabling Notifications for Fleet Managers

  1. Log into GroundCloud.io.

  2. Go to the Fleet Managers tab.

  3. Click the Fleet Manager’s Name.

  4. Click Edit in the top-right corner.


  5. Under Notification Preferences, select:


    • Notify by Email

    • Notify by SMS

    • Both

  6. Click Submit to save changes.


Enabling Notifications for Drivers

Drivers will receive expiration reminders 30 days before a document expires if:

  • A valid phone number is associated with their profile.

  • Notifications are enabled for the Driver Document.
