Maintenance Records track vehicle maintenance and odometer readings. These records can be accessed from the Fleet Management section in GroundCloud.io or from the Vehicle Details page for an individual vehicle.
Creating a Maintenance Record
Go to the Maintenance Records tab in the portal.
Select Add Record to create a new maintenance entry.
Choose the Record Type as either Maintenance or Odometer reading.
Complete the required fields, including vehicle selection, service type, description, vendor, cost, date, and odometer reading.
Maintenance Records are included in the Monthly Maintenance Report (MMR) by default. Uncheck Add to MMR if the record should be excluded.
Select Save to finalize the record. The entry will now be visible in the Maintenance Record section and under the Vehicle Details page.
Recording an Odometer Reading
Select Add Record from the Maintenance Records tab.
In the popup window, select a vehicle from the dropdown list.
Choose Odometer as the Record Type.
Enter the Date of the odometer reading.
Record the current odometer reading.
Click Save to create the odometer record.
Creating a Maintenance Record from a Work Order
Navigate to the Work Orders page.
Locate the work order for which a Maintenance Record needs to be created.
Select the Edit icon next to the work order.
At the bottom of the page, select Add Record.
Fill in the maintenance details, including vehicle selection, service type, description, vendor, cost, date, and odometer reading.
Click Save to create the Maintenance Record.
Managing Maintenance Records in MMR
By default, records created from Work Orders are included in the Monthly Maintenance Report (MMR). To exclude them, edit the Maintenance Record and uncheck Add to MMR before saving changes.
