A maintenance Work Order is an artifact that can be created and tracked as work on a specific vehicle is in progress and completed. It is the second step in the maintenance process. Use work orders to track communication with your service provider (mechanic, maintenance worker, other) to keep your fleet up and running.
From the Work Orders page, you can track work orders across all vehicles in your fleet. The dropdown menus at the top of the list allow you to sort by vehicle or by work order status.
Creating a Work Order
To create a work order manually:
Log in to GroundCloud.io.
Go to the Work Orders page under your portal's Fleet Management section.
Click Add Word Order in the top right corner.
Select a Vehicle and standard Service Type.
Include a description of the specific work to be performed.
Optionally, select a Start Date for the work and enter any additional notes or comments in the Notes field.
When all information has been entered, click Save Work Order to create the work order.
Create a Work Order from a Vehicle Reminder
Work Orders can also be created automatically from the Vehicle Reminders page.
When creating or editing a Vehicle Reminder, select the option to Automatically create Work Order and click Submit to save the changes.
When the Vehicle Reminder becomes due, a Work Order is automatically created based on the information in the reminder. It can then be tracked and completed on the Work Orders page of the portal.
Edit a Work Order
To make changes or add information to a Work Order:
Click the Edit button for the specific Work Order.
Make changes or update information as needed.
Click Save Work Order to save any changes.
Please note the maintenance history matching the selected Vehicle and Service Type is displayed at the bottom of the Edit Work Order page. This information helps provide visibility into the maintenance history of the selected vehicle and allows you to easily associate and view one or more maintenance records with the work order.
The date filter may need to be adjusted to display maintenance records for the selected vehicle and service type. New maintenance records can be created by clicking Add Record in the Maintenance Record table. This action displays the Create Maintenance Record modal with key information from the work order pre-populated.
Close a Work Order
When all maintenance records have been added and the work order is complete, Change the status to "Closed" and click Save Work Order.
