Account Data Management


You need to keep your account up to date for proper attribution and reporting. In order to get the best reporting and to prepare for any internal or external audits, the information listed on your account should match your:

  • Schedule B

  • Current contracts

  • Company information

  • Equipment details

  • Employee information

This article explains the most important information to keep up to date.


Entity ID

Your entity ID is your business's main identifier. Your current Entity ID can be viewed and edited on the Contact & Terminals page.

The Entity ID field should be populated with your eight-character Entity ID. This identifier should start with a “V” and be followed by seven digits, including leading zeros if necessary.

For example: V1234567.


Add/Edit a Business Entity

You can add additional entities here if you are operating more than one entity under a single GroundCloud account:

  1. Go to the Contact & Terminals tab on your management portal.

  2. Scroll to the Business Entities section and click +Add or Edit.


  3. Input your Entity Name and FedEx Entity ID. The Entity ID must begin with V and be followed by seven digits.

  4. Select Submit to save any changes. We recommend adding the main Entity ID listed at the top of the Contact & Terminals page to the Business Entities section as well.


Contract ID

The Contract ID page of your portal lists all contracts for your company.


The Contract ID field should be populated with your current eight-character Contract ID. This identifier should start with a “C” and be followed by seven digits, including leading zeros if necessary. For example: C0012345.

Making sure that the Service Type and Date Range are accurate is also important.

Vehicle

Ensuring that your vehicles are properly associated with their respective contracts in your account is essential for precise reporting. This task is done by adding a new vehicle to a contract or transferring all vehicles from one contract to another.

It is also important to ensure that accurate information is entered for each vehicle. The vehicle ID and VIN listed on the Vehicles page of your portal should match the information listed on your Schedule B.

The Vehicle ID should be populated with the five- to six-digit Vehicle ID. The VIN should be populated with the 17-character vehicle identification number.


VEDR Device

VEDR devices must be assigned to the vehicle in which they are installed in order to be assigned to contracts for compliance reporting. Device assignments can be viewed and updated on the Devices page of your portal.


Add or Edit a Device's Vehicle Assignment

  1. Go to the Devices tab in your management portal.

  2. Click on the device name to open its details. Here, you can select and edit the device's assigned vehicle.


  3. Click Edit Device to make adjustments.

  4. Press Submit to save any changes.
