Manual vs. Automated Timecards

Manual Timecards

Drivers must manually clock in and out to track their working hours. This method provides the most accurate time reporting as it records actual punch-in and punch-out times.

1. Enable Geofence Shift Start to allow drivers to log in from home to check their routes.

2. Disable Auto-Clockout Distance by setting it to zero. This makes logout times more accurate by relying on the driver’s manual punch-out rather than geofence-based automation.

3. Train drivers to use the GroundCloud® Driver App or GroundCloud.io to start and stop their shifts.

4. Set expectations for logging in and out. Drivers should select Start Work when they are outside the terminal security gate and Stop Work when they finish their shift.

5. Monitor logouts to ensure drivers do not miss them. If they fail to log out manually, the system will use an automatic fallback logout time.

6. Train drivers on the proper login and logout procedures:

   • Download and install the GroundCloud® Driver App from the app store.

   • Log in to the app to check schedules and routes as needed.

   • Select Stop Work when arriving at the terminal or after completing the shift.

Automated Timecards

Drivers are clocked in and out automatically based on system settings.

1. The app eliminates the need for manual clock-in and clock-out.

2. The Auto-Clockout Buffer ensures that entry into the terminal geofence does not immediately end the shift, allowing time for parking and exit.

3. Geolocation and service issues can affect accuracy. If the GPS signal is weak, shifts may start at the first package delivery or end with a fallback time.

Starting a Shift

Default Shift Start

The system automatically starts a shift when a driver logs in without restrictions on time, location, or other conditions.

Geofence Shift Start

1. Set up a Geofence around the terminal to automatically clock in drivers when they arrive within a specified distance.

2. This feature does not restrict the manual clock-in option. Drivers can always start their shift manually by selecting Start Work.

3. The Geofence Shift Start setting is enabled in GroundCloud.io under Settings.
   
   

Clock-in Padding

This setting adds extra time to the beginning of a shift. It ensures compliance with labor regulations by accounting for the time it takes to walk from the security gate to the truck.

1. Open GroundCloud.io.

2. Navigate to Settings.

3. Enter the desired Clock-in Padding value.

First Delivery

The system provides a fallback option if drivers forget to clock in or do not enter the geofence. The shift will start at the first package delivery attempt.

Manual Shift Start

Drivers can manually clock in using the Timecard menu in the GroundCloud® Driver App or by logging into GroundCloud.io and selecting the punch-in option.

Ending a Shift

Default Shift End

1. The system automatically ends the shift when the driver enters the terminal geofence.

2. Geofence Clock-Out Distance is set by default to 600 feet. Drivers within this range will be clocked out automatically.

3. Auto-Clockout Padding extends the shift to account for additional work completed after entering the terminal.

4. End-of-Day Auto-Clockout forces logouts at a specific time to ensure no drivers remain logged in past scheduled hours.
   
   

Manual Shift End

Drivers can manually end their shift using one of the following options:

1. Select Stop Work in the GroundCloud® Driver App under the Timecard menu.

2. Log in to GroundCloud.io and use the punch-out option.
   
   

Generating a Timecard Report

1. Navigate to the Reports page in GroundCloud.io.
   
   
   

2. Select Time Card from the list of available reports.

3. Choose a Date Range and filter by Drivers if needed.

4. Select report filters:

   • Roll-up Drive Time consolidates driving sessions into daily totals.

   • Roll-up Breaks combines break times into a single total per day.

   • Roll-up Clocked Time consolidates total clocked-in hours per day.

   • Include Drive Time adds drive time to clocked-in hours.

   • Use Approved Time Cards pulls data from approved timecards. If none are available, the system defaults to regular hours.

   • Include Subtotals provides time breakdowns for each driver.

5. Click Apply to generate the report.

6. To export the report, select Export from the top-right corner of the page. The file will be downloaded to your browser or Downloads folder.
